When coaches add players and families register, we collect:

• Player name and jersey number
• Family member names and labels (e.g. “Mom,” “Dad”)
• Email address and phone number (optional, provided during registration)
• A personal PIN used for account access
• Performance stats, coach feedback notes, and video resource links entered by coaches
• Messages posted in DugoutChatter by players and family members

We do not collect payment information, Social Security numbers, or government-issued ID numbers.

Information collected is used solely to operate the FieldNotes platform:

• To display player feedback, stats, and film room resources to authorized family members
• To send notifications when new content is posted (when enabled)
• To allow coaches to manage their roster and communicate with families

We do not sell your data, share it with third parties for advertising, or use it for any purpose outside of operating this service.

Access is strictly limited:

• Coaches can see all player profiles, stats, notes, and the contact info for registered family members on their roster.
• Family members can only see information for the player they registered under. They cannot see other players’ data.
• Players can see their own feedback, stats, and Film Room — and DugoutChatter messages posted for their profile.

No player or family data is visible to the public or to users on other teams.

FieldNotes is used with youth sports teams and may include data for children under 13. Accounts for minor athletes are created by their coach — children do not register directly. Parents and guardians register separately using the family sign-up code provided by the coach.

Parents or guardians may request to review, update, or delete their child’s information at any time by contacting us at support@topnine.com.

Data is stored securely using Supabase, a managed database platform with encryption at rest and in transit. Access to the database is restricted to authenticated users only — no player data is publicly accessible.

We take reasonable technical measures to protect your information, but no system is completely immune to security risks. We will notify affected users promptly in the event of a breach.

If you provide a phone number and opt in to SMS notifications, we will send you text messages when your coach posts new content (FieldNotes, KeyStats, Film Room clips, or DugoutChatter messages). Message frequency varies by coach activity.

Mobile opt-in data and consent are never shared with third parties for marketing purposes. Your phone number is used solely to deliver notifications related to your player’s account on FieldNotes.

To request deletion of your account or any associated data, contact us at support@topnine.com. We will process deletion requests within 30 days.

We may update this policy as the platform evolves. When we do, we’ll update the date at the top of this page. Continued use of FieldNotes after changes constitutes acceptance of the updated policy.
